Set up and manage financial measures
Financial measures let you track specific cash amounts or calculate ratios from your bank balances, outstanding invoices and bills, budget lines and manual amounts. They live under **Banking → Financial measures** (or **Financial ratios**, depending on your workspace). ## Types of measure | Type | What it calculates | |---|---| | **Single amount** | A total from one or more sources — for example, total available cash across selected accounts. | | **Ratio** | One amount divided by another — for example, liquid assets divided by current liabilities. | Both types share the same stored definition and can be converted between modes while the editor is open. Switching modes retains the comparison draft so you do not lose your configuration. ## Create a measure 1. Open **Banking → Financial measures**. 2. Select **New measure**. 3. Choose a starting preset, or begin from a blank definition. 4. Give the measure a clear name. 5. Select the **currency**. 6. Choose a **display format**: ratio, percentage or currency amount. 7. Choose the **direction**: Higher is better or Lower is better. 8. Add value sources (see below). 9. Optionally set thresholds and notes. 10. Save. ### Starting presets Presets give you sensible starting defaults for common measures such as Cash at bank, Current ratio or Quick ratio. Everything is editable after selecting a preset. ### Copy an existing measure To base a new measure on an existing one, select **Copy** next to it in the table. A copy is created under your name with *(copy)* appended to the title. Edit and save as normal. The original is unchanged. ## Add value sources Each side of a measure (value, or numerator and denominator for ratios) can combine multiple sources: | Source | What it reads | |---|---| | **Bank balance** | The ledger balance of selected bank accounts in the measure's currency. Filter by account type (for example, exclude credit accounts). Leave accounts unselected to include all matching accounts. | | **Outstanding invoices / bills** | Open receivable or payable records on any object type with a finance role. | | **Budget line** | A specific line from a published budget in the same currency. | | **Manual amount** | A fixed number you enter directly. | Bank account selections are restricted to accounts matching the measure's currency. You can select several accounts from the same currency. ## Set thresholds Optionally add **Good at** and **Warn at** thresholds. These mark results as healthy or needing attention on the measures page and on the dashboard. - **Higher is better**: Good at should be above Warn at. - **Lower is better**: Good at should be below Warn at. Contradictory thresholds block saving — the editor explains the issue without losing the draft. ## Add notes Use the optional **Notes** disclosure to record the purpose of the measure, its assumptions or any context that helps teammates interpret the result. ## Pin to dashboard Enable **Pin to dashboard** to show the measure on the workspace dashboard. Pinning requires workspace edit access. The pin toggle is disabled if you do not have the required permission. ## Loading and unavailable states Measure results that depend on bank feeds or budget data may show as **unavailable** or **loading** while the source is being fetched. Use **Retry** to reload a failed result. Independent manual measures remain usable while other sources are loading. Ratio results wait for all their source states (bank, finance records and referenced budgets) before showing a value. This prevents false zero results from empty defaults while required data is still loading. ## Access controls Creating, editing, copying and deleting measures requires workspace **edit** permission. Pinning to the dashboard also requires edit permission. Viewing results is available to all workspace members with Finance access. Deleting a ratio now requires current workspace edit permission **and** creator or admin authority. This prevents creators who have since lost workspace access from deleting definitions. The `createdBy` and `createdAt` fields are preserved when a measure is updated. ## Troubleshooting **A source shows as unavailable.** Check that the bank feed is active and has completed its initial import. Budget lines require the budget to be published. For Xero-linked sources, verify the Xero connection is active and the relevant accounts are linked. **A ratio shows a false zero.** This typically means a required source feed was still loading or had failed when the result was calculated. Use **Retry** to reload. If the issue persists, check the source connection under **Banking** or **Settings → Integrations**. **Saving is blocked.** Check that all selected sources have valid configurations and that thresholds are not contradictory. Invalid inputs, empty selections and contradictory thresholds all block the save but keep the editor draft open so you can correct the issue without losing your work.
